Invoice Monitoring with KNIME

How This Workflow Works

This workflow identifies overdue invoices, assigns them to defined aging buckets, and enriches this information with internal data about responsible managers and customer credit ratings. It then assigns follow-up actions to the sales department based on the severity of overdue amounts and customer risk, and presents the results in a dashboard while storing detailed receivables in a spreadsheet.

Key Features:

  • Detect and categorize overdue invoices by severity and aging.
  • Enrich invoice data with customer credit ratings and responsible managers for targeted follow-up.
  • Automate assignment of collection actions based on risk and outstanding amounts.
  • Visualize receivables, invoice lifecycle timeline and follow-up distribution in an interactive dashboard.

Step-by-step:

1. Identify and Categorize Overdue Invoices:

The workflow calculates due dates for each invoice and compares them to the current date to determine which invoices are overdue. It then classifies overdue invoices into aging buckets (such as 1-30, 30-45, 60-90 days, etc.) and flags those that are pending or soon to be due.

2. Enrich Invoice Data with Customer and Risk Information:

Overdue invoice records are matched with internal data sources to add information about the responsible account manager and the customer's credit rating. This step ensures each overdue invoice is linked to the right contact and risk profile for further action.

3. Assign Follow-up Actions Based on Risk and Amount:

The workflow evaluates the total overdue amount per customer and considers their credit rating to determine the appropriate follow-up action. Actions may include sending reminders, escalating to factoring, or giving additional time, and are automatically assigned to the relevant account manager.

4. Visualize and Share Insights:

The results are presented in a dashboard that displays key metrics such as total receivables by credit rating, overdue amounts by manager, and invoice aging. The workflow also exports detailed receivables data to a spreadsheet for further analysis or record-keeping.
